Use the b54 event page as the source of truth. The page must show the date, venue, event window, participant requirements, code of conduct, submission deadline, and any approved capacity limit. Close registration when safe venue capacity is reached.
Seven days before the event, review the registration count and send a confirmation request if attendance risk is high. Forty-eight hours before, send arrival time, location, what to bring, pass instructions, conduct rules, dietary collection method, and submission requirements. Do not publish participant names or contact details.
Data rules
• Collect only what the platform requests for registration and delivery. • Never download, copy, photograph, message, sell, or reuse the attendee list. • Volunteers search by a participant’s name or exact email and see only the match needed for service. • Campus Reps may manage the full roster only for events they organize. • Do not collect national identity cards for ordinary check-in. Escalate identity concerns to b54. • Media notice and a reasonable photo opt-out must be visible before photography.
Report any suspected data exposure immediately and stop further sharing while b54 investigates.
