Before promotion

• Do not announce the event until the Campus Build is approved. • Download the current b54 source assets from the Media kit, under Official templates; do not redraw the logo, move safe zones, invent a co-brand, or reuse an old template. • Use a partner name, logo, offer, quotation, or campaign asset only when that partner and exact use are attached to the Build and approved by b54. Never copy a logo from the web. • Submit portrait feed (1080×1350) and story (1080×1920) files at least ten days before the event. Optional landscape and vertical-video formats must match the displayed specification. • Copy must use the confirmed date, venue and registration link. Claim only partners, speakers, prizes, funding and benefits explicitly approved in the platform. • b54 approval is required before any b54-branded file is published. A late override requires a written admin note.

Production and accessibility

• Use JPEG or PNG for static promotion and MP4 or QuickTime for video. Keep within the template’s exact dimensions, duration and size cap. • Keep important copy inside the template safe area; use readable contrast, captions on video and useful alternative text. • Submit the final file and caption—not a screenshot of an editable design. Keep editable source files until closeout. • Media, printing, paid distribution and creator costs are not reimbursable unless separately approved in writing.

Event documentation

Post a clear media notice during registration and again at the venue. Offer a visible photo opt-out and a reasonable camera-free area. Brief photographers before doors open. Never capture attendee lists, passes, private screens, payment details, incidents, minors without an approved safeguarding plan, or anyone who opted out.

Closeout requires one event-wide photo or short video, three highlight photos or one edited highlight video, two participant interviews, and one volunteer interview. Every identifiable interview or testimonial requires specific, informed permission that can be withdrawn. Ask short questions about the problem built, what the person learned, the role they played, and what they will do next. Use only music, images and footage b54 has the right to publish.

Recommended output presets reflect current official Instagram, LinkedIn and X specifications. Platform limits change; the specification shown beside the current b54 template is the operating source of truth.
