Apply at least 14 days before the proposed date. The request must name the university, city and country, proposed date, expected attendance, venue, institution contact, delivery team, and event plan.

Approval gate

• You are an active Campus Rep in good standing. • The venue is a real campus or institution-approved space with capacity, sanitation, power, and safe access. • An institution or venue contact can independently confirm permission. • At least three organizers cover operations and safety, participant experience and check-in, and projects and submissions. • The proposed event follows the standard one-day format or explains the requested exception. • No organizer is competing, judging, or selling to the event without a disclosed and approved conflict.

b54 normally responds within two business days. Approval creates the event workspace. A lower meal participant limit may be set for a first event, an untested venue, incomplete evidence, or elevated financial risk. Do not announce b54 support, sign a vendor, promise prizes, or spend against b54 until the application and the relevant budget are approved in the platform.
