Apply at least 14 days before the proposed date through the Campus Rep application on build54.com. The application was written for in-person events, so put the online details in your plan. Start it with “Virtual Campus Build”, leave the venue field empty, and give the university, city and country, proposed date, expected attendance, institution contact, delivery team, and event plan.

What the plan should cover

• The video room and the chat space you will use, and how participants join without paying for anything. • The time zone, the kickoff time, the submission deadline, and when demos start. • Who runs the online room, who checks people in, who moderates and leads on safety, and who owns projects and submissions. • How people with weak connections can still take part. • Any organiser who wants to compete, judge, or sell to the event.

Approval gate

• You are an active Campus Rep in good standing. • An institution contact can independently confirm that the event is for your campus community. • At least three organisers cover the online room and participant support, check-in, and projects and submissions, with a named incident lead. • The plan explains the online format and keeps to one day, or explains the exception. • No organiser is competing, judging, or selling to the event without a disclosed and approved conflict.

b54 normally responds within two business days. Approval creates the event workspace. Do not announce b54 support, sign anything, promise prizes, or spend against b54 until the application and the virtual format are approved in writing.
